This is one of the major duties for EA to be responsible for. This may include arranging travel, meetings, speaking engagements and other appointments for the executives they are assigned to work with.
In addition to making appointments, this may also involve ensuring there are no conflicting schedules and informing executives of the time and place of events in a timely manner. This EA is for CTO working in the global organization hence, when you perform the above outlined duties, you must pay close attention to the time difference as well as other executive’s availabilities.
General Office Management:
The office management and team coordination are also critical roles for EA to perform. These responsibilities may involve overseeing the work of clerical and other executive/administrative employees, as well as making sure that everything in the office is in place to function smoothly. Tasks may range from keeping up with office supply inventory to negotiating leases to preparing purchasing coordination to approving vacation requests for clerical employees.
Executive Assistant often manages the flow of information to members of the executive leadership team. This in cludes screening phone calls, opening and sorting mail, and summarizing reports and memos that are received before passing the information on to the people they assist. You will need to distribute the meeting minutes to the attendees and key stakeholders if required.
Information Material Preparation:
Executive Assistant is often involved in preparing and formatting information for internal and external distribution. This may include writing letters and memos, compiling data for reports, creating computerized presentations, writing reports, transcribing dictation, editing, proofreading and other information preparation duties.
Lastly but not least, Executive Assistant may have access to information about compensation plans, upcoming layoffs, internal investigations based on employee complaints, company trade secrets and other confidential information. Virtually every executive assistant is in a position of being privy to information that must be protected, so being able to maintain confidentiality and exercise discretion is essential for success in this type of job.
